This Privacy Policy explains how Chef OS Technologies LLC handles information in connection with ChefOS™, our kitchen operating system.

01Scope
This policy applies to the ChefOS websites, applications, and APIs. It does not apply to third-party services you choose to connect, which are governed by their own policies.
02Information You Provide
Depending on how you use ChefOS, this may include your name, email address, account profile, organization and location details, assigned role, and the operational content you create or upload: recipes, menus, prep lists, SOPs, inventory records, reservation and event details, images, documents, comments, Digital Sous Chef conversations, and support communications.
03Information Collected Automatically
We collect device and browser information, IP address, timestamps, log data, usage and feature interactions, diagnostics and error reports, and information collected through cookies and similar technologies.
04Information from Integrations and Service Providers
We receive limited information from providers that support ChefOS, such as authentication, cloud hosting, email delivery, payment processing, and AI model providers, and from integrations you connect.
05How We Use Information
To operate and deliver ChefOS; authenticate users; secure the platform; provide support; process billing; improve and troubleshoot features; maintain audit records; comply with legal obligations; and communicate service, security, and account information.
06AI Processing
Uploaded documents and images, recipes, menus, prep sheets, and prompts may be processed by AI systems to extract structured data and generate recommendations or draft changes. This processing is performed to provide the features you request.
07AI Review and Approval
AI-assisted changes remain subject to the product’s review and approval workflow: they are created as drafts or pending proposals and are not applied to published records until an authorized user approves them. We do not represent that AI processing is error-free or risk-free, and human review is required.
08Legal Bases
Where a legal basis is required by applicable law, we rely on performance of our contract with you, our legitimate interests in operating and securing the service, your consent where requested, and compliance with legal obligations.
09How Information Is Shared
We share information with service providers acting on our behalf; with your organization’s administrators and authorized users according to role and location permissions; with legal authorities where required by law or to protect rights and safety; with a successor in a merger, acquisition, or other business transfer; and at your direction.
10No Sale of Personal Information
Chef OS Technologies LLC does not currently sell personal information for monetary consideration.
11Reservation and Guest Data Minimization
Collect only the guest information your operation needs, such as a name, party size, time, and relevant notes. ChefOS is not designed to collect or store payment-card data; card data for subscription billing is handled by our payment processor and is not stored in ChefOS.
12Retention, Backups, and Deletion
We retain information for as long as needed to provide the service and for legitimate business, audit, and legal purposes. Audit logs and backups may persist for a period after deletion. Account deletion requests can be sent to support@mychefos.com.
13Security
We use encrypted transport, authenticated access, tenant isolation, role-based access controls, location-scoped permissions, audit logging, and other reasonable safeguards. No system can be guaranteed completely secure, and we do not promise absolute security.
14Customer and Administrator Responsibilities
Organizations control who they invite, what roles those users hold, and what content they upload. Administrators are responsible for managing access promptly, including removing departing staff, and for the lawfulness of the content they place in ChefOS.
15Cookies and Analytics
We use cookies and similar technologies for authentication, session management, security, preferences, and product analytics. Browser controls may allow you to limit cookies, though some features require them.
16Children’s Privacy
ChefOS is a professional tool and is not directed to children under 13. We do not knowingly collect personal information from children under 13.
17U.S. Operations and International Transfers
ChefOS is operated from the United States, and information may be processed in the United States and in other countries where our service providers operate.
18Your Privacy Choices
Depending on your location and role, you may request access to, correction of, deletion of, or an export of your personal information, and you may opt out of non-essential marketing communications. Requests are subject to verification and legal exceptions. Some requests must be directed to your organization’s administrator, who controls that workspace.
19State Privacy Disclosures
Residents of certain U.S. states may have additional rights regarding personal information. We handle such requests as described above. This policy is a general description of our practices and is not a representation of full compliance with any specific statute pending legal review.
20Changes to This Policy
We may update this policy and will revise the “Last updated” date above. Material changes will be communicated where appropriate.
